Plenty of successful businesses run on spreadsheets, and there’s no shame in it. The question isn’t whether an app would be nicer — it’s whether the spreadsheet has started costing you more than it saves.
A spreadsheet is probably fine if…
- One or two people use it, and they know it inside out
- The data changes a few times a day, not a few times a minute
- Mistakes are easy to spot and cheap to fix
You’ve outgrown it when…
- Several people edit it at once and overwrite each other
- Customers or partners need to see or update their own information
- You repeat the same manual steps every day
- Errors are slipping through and costing you money or trust
There’s usually a middle ground
You rarely need to jump straight to a bespoke app. A simple client portal, a booking tool or a small internal dashboard built on top of your existing data can remove most of the pain for a fraction of the cost.
Start small and prove it
Pick the single most painful process, build the smallest thing that fixes it, and put it in front of the people who’ll use it. If it earns its keep, grow it from there.
